At Ayda, we're committed to treating participants fairly and ensuring they claim their well-deserved incentives - it’s important to the research ecosystem. But what do you do when the participant hasn’t claimed the incentive after an agreed period? You rebate it.
Here, we'll walk you through the process of rebating unclaimed incentives on Ayda's platform.
Decide what your desired claiming period is
Before initiating the rebate process, you need to decide on the claiming period: how long participants must claim their incentives. The minimum claim window is set at 30 days, but you can set the claim period to be longer than this.
To ensure participant satisfaction, please make sure to communicate the claim window to your participants.
How do I rebate my unclaimed incentives?
How to rebate unclaimed incentives for all projects within a set period
To rebate unclaimed incentives for all the projects within the selected period, follow these steps:
- Once you've logged in, click the Company section on the left menu.
- Inside the Company section, click Currency.
- At the bottom of the Currency page, you'll find the Rebate Unclaimed Incentives option. Select this to initiate the rebate process.
- In the rebate window, you'll need to specify the period for which you want to rebate unclaimed incentives. For example, if you decide on a 60-day window, enter "60" in the designated field.
- You have the option to include participant details in your reports. To do this, tick the box labelled Include Participant Details.
- Now, click the Rebate Incentive button to initiate the rebate process.
How to rebate unclaimed incentives project by project
To rebate unclaimed incentives project by project, follow these steps:
- Click Reports on the left menu. Generate a Project Finance Summary Report for the required period.
- From the report, identify the projects where you have unclaimed incentives.
- Click the View Project link in the Project Summary Report for each project where you want to rebate unclaimed incentives - this will take you to the relevant project.
- Rebate unclaimed incentives for this project by clicking the Rebate Unclaimed Incentives button at the bottom of the page.
- Details of all unclaimed incentive rebates will be shown in your Summary Statement.
Please note: The rebate process must respect the minimum claiming window of 30 days. You cannot rebate incentives before this minimum period has elapsed.
